Privacy Policy Statement
This Privacy Policy Statement is effective as and from 25 May 2018.
This statement describes how we process your personal data. Please take the time to read it carefully. You have a number of rights in relation to your personal data including the right to object to processing of your personal data where that processing is carried out using the GDPR consent or legitimate interests processing bases.
In this statement we use the terms “we” and “our” to refer to both the owners of the property and the property management company.
You can contact us directly on CasaKathrynLZ@outlook.com and the property management company on info@playablancapropertyservices.com / +34 638 48 37 67.
As private citizens we do not have a privacy officer responsible for overseeing data protection questions. If you do have questions about this privacy statement, including any request to exercise your legal rights, please contact us at the above email address(es).
Processing basis
We collect your personal data for a number of reasons and rely on three GDPR 'lawful bases' to process it.
- Personal data to manage your booking is collected to agree and support a Contract.
- CCTV images are captured for security reasons and support our Legitimate Interest.
- Sensitive personal data (e.g. medical conditions) is collected to accomodate special arrangements and is processed with your explicit Consent.
We only use your personal data for the puropses it was provided, but we may be required to further process your personal data to comply with certain other obligations including providing data to Law enforcement agencies, the Information Commissioner's Office (ICO) or other enforcement agencies under various pieces of legislation which apply to us, or for the establishment, exercise or defence of legal claims.
Data we process
Personal data we process for management of the villa (e.g. advertising, bookings and payments) includes, but may not be limited to; your name, contact details, bank details and the details of payments made, as well as the names of additional guests and attestations.
Special category (sensitive) data (e.g. medical conditions) will only be processed if you request us to make special arrangements as part of your stay.
Personal data (e.g. cctv images) is only processed for the purposes of security of the villa. Motion detection is only enabled while the property is unrented. When it is rented this function is disabled, so we do not record visitors coming / going. Renters have the option of unlplugging the doorbell (plug behind the front door), but must be aware that this will stop the chime from working and it must be re-plugged at the end of the stay. Images captured are entirely within the boundary of the property.
Note. It is a legal requirement for Lanzarote visitors to register yourelves with the authorities. They will request your name, date of birth, nationality, driving licence, passport of lead guests and additional guests, etc. We have no access to this data as it is entered directly onto a government website.
Data management
Your data will be shared between us (as private individuals in the UK) and the property management company (in Lanzarote). We may also need to share your data with third party service providers, for example cleaning companies and pool maintenance companies.
We will process personal data on your behalf for as long as you instruct us to do so. At the cessation of our processing activities on your behalf it is your choice as to what happens to the personal data you have provided to us. We will work with you to carry out your reasonable instructions unless we are required to retain it to comply with legal obligations (we must maintain accounts so are required to retain records of payments for 7 years).
Data transferred over the internet by us and through our website may be protected using encryption technologies to ensure they remain secure. Note that email communication is not considered secure.
You have several rights under data protection law in relation to how we use your personal data. You have the right, free of charge, to request access to it, and in some cases amend or delete it.
You also have the right to lodge a complaint to the (UK) Information Commissioner's Office (ICO).
